Privacy Policy

BabelBiz ("we," "us") provides managed customer-communication and small-business operations for cleaning-business operators (our "Customers"). This policy explains what we collect, how we use it, and your choices. It's written to be read by humans.
1. Who this applies to
- Customers: the cleaners who sign up for BabelBiz.
- End Users: people who contact a Customer's business — usually homeowners — through a phone number, website, or messaging channel we operate on the Customer's behalf.
If you're an End User reaching out to a cleaning business, BabelBiz processes your information on that business's behalf to help schedule and confirm services. Questions about how that specific business uses your information should be directed to the business itself.
2. Information we collect
From Customers
- Name, email, phone, WhatsApp number
- Business name, services offered, pricing, hours, service area
- Payment information (handled by our payment processor — we don't store card numbers)
- Photos, text, and other content you provide for your website
From End Users contacting a Customer's business
- Name, phone number, email (when provided)
- Content of messages, calls, and booking requests
- Service address (when provided for scheduling)
- Call recordings and transcripts — see Section 5
Automatically
- Standard web analytics: IP address, browser, device, pages visited, referring URL
- We use Google Analytics 4 for aggregate site analytics
3. How we use information
- Operate the service: route messages, schedule jobs, send reminders, build and host your website
- Translate, draft, and respond to messages between Customers and their End Users
- Train and improve our AI message-handling systems (see Section 4)
- Bill and collect payment
- Communicate with Customers about account, support, and product updates
- Comply with legal obligations and protect against fraud and abuse
We do not sell personal information.
4. AI handling
Some message handling involves AI-assisted translation, drafting, and routing. Humans review ambiguous, sensitive, or high-stakes communications. We may use de-identified message content to improve our systems. If you don't want your communications used for product improvement, email us at the address in Section 12.
5. Call recording and transcription
We may record and transcribe phone calls placed to or from business numbers we provide, for purposes of (a) operating and improving the service, (b) verifying scheduling details, and (c) training AI systems. Some U.S. states require all parties on a call to consent to recording. Where applicable, our automated greeting on inbound calls discloses the recording. Customers are responsible for compliance with recording laws in their own state and the states of the End Users they communicate with.
6. Sub-processors
We share information only with vendors who help us deliver the service:
- Twilio — phone numbers, SMS, voice routing
- Meta / WhatsApp Business Platform — messaging
- Zelle — billing
- Google Analytics — aggregate site analytics
- AWS — website hosting
- AI model providers — message processing, translation, drafting
Each is bound by their own privacy and security commitments. We update this list as our infrastructure changes.
7. How long we keep information
- Customer account data: while your account is active, plus a reasonable period for legal, tax, and accounting purposes.
- Customer communications: for the duration of your account; deleted or de-identified within 90 days of cancellation, except where retention is required by law.
- Call recordings: up to 180 days, then deleted unless we're required to retain longer.
8. Your choices
You can:
- Request a copy of the personal information we hold about you
- Request correction or deletion
- Cancel your account at any time (see our Terms for what happens to your phone number and website)

9. Security
We use commercially reasonable safeguards including encryption in transit and at rest, access controls, and vendor diligence. No system is perfectly secure. We'll notify affected users of material breaches as required by law.
10. Children
BabelBiz is not directed to children under 13 and we do not knowingly collect information from children. If you believe a child has provided us information, contact us and we'll delete it.
11. Changes
We'll update this page when our practices change and post a new effective date. Material changes will be communicated to active Customers by email or in-product notification.
